Summer Show at Iron Bridge Sports Park
I've started talking with Brown's VW on Midlothian Tpk. again for our 2nd annual VW Show. Despite the rainy forecast and a shower or two, we had nearly 50 vehicles show up and several vendors. It was a great first show, and many members have received favorable comments on how the show was run.
Here is a link to some pics from last year:
https://www.facebook.com/album.php?aid=23212&id=1580340549&l=d6bb7319e0
This year we will have improved signage up front and just as last year, we'll get as many air-cooled VWs parked on the front grass for display. The date has been tentatively set for Saturday, June 26th.
Just like last year we'll need help getting the show organized so if you'd like to volunteer to help just let me know. From last year's show I have plenty of supplies, but for this year we'll need to get some trophies (Club member Jayson Eastwood has volunteered to help with trophies...he works for a trophy company!!) and door prizes. Our biggest expense last year was the trophies so if anyone has an idea to help minimize that cost that would be great. Most of our door prizes were donated from members and companies like thesamba.com and Wolfsburg West. I'll be in touch with the companies to solicit prizes...if you'd like to donate a door prize that would be great!!!

Re: Summer Show at Iron Bridge Sports Park
I've been doing some talking with the Iron Bridge Sports Park in Chester about possibly hosting our show this summer. Today I went by there and we have tentatively agreed to hold it on Saturday June 19th. They have a great location with excellent visibility from the main road (Rt. 10). Last year at Brown's VW we were tucked back in the corner and this probably hurt us in our efforts to attract folks. At the Sports Park they have an excellent blacktop surface that can easily accommodate 100+ vehicles, not to mention outstanding concessions and facilities. Also, and heaven forbid, if we ever get bored of looking at VWs we can play a round of mini-golf or cruise the go-carts.
I feel real good about putting on a show this year and would love to hear your inputs on how we can make this a great event! Attached is a flyer that I put together...take a look and let me know what you think. It is very similar to the one we handed out last year (it is best viewed in grayscale).
Just like last year, we can use as much help as possible in organizing our event (i.e. getting the word out, donating door prizes, helping with setup, etc.). Look forward to seeing everyone in the coming months so we can iron out the details.

I think it will work out great...the owner there was very enthusiastic about putting on a VW show with us. Hopefully this will be a venue we can use for many years to come!!!

Re: Summer Show at Iron Bridge Sports Park
At our next cruise-in at BW3s I'd like to meet an hour earlier (2pm) with anyone who is interested in helping plan the show at the Iron Bridge Sports Park. We have a charity picked out, for Roy and Stephanie Arnette's son, Cameron called Racing4Research, and more details on that will be coming. As for the show itself, we'll need help getting door prizes donated, sponsors selected and notified so we can get goodie bag donations.
We had a DJ last year that cost us $100, but if anyone knows someone who can do it for less (or free) that would be sweet. Also, I need to print up a bunch of flyers to pass out at the BugOut and other events. I found a place that can do 500 flyers for $60, but if anybody knows someone who can do it for less (or even free!!) let me know.
Look forward to planning a great show with everyone...I already know a narrowed beam is going to be restored and raffled off at the show for little Cameron!!! Hope as many of you can come out a little earlier next month!

Getting pumped for the show!!! Gonna be sweet as Joe's split and Jeremy's computer-aided metal cutting madness...
Re: Summer Show at Iron Bridge Sports Park
I got some giveaways for our show from thesamba and Hagerty's collector car insurance. I've contacted other companies, too (Wolfsburg West, Airhead Parts, West Coast Metric, Bus Depot) but haven't heard from them regarding goodie bag stuff. I'll send them another email soon and ask again. If anyone has connections to other businesses/organizations that would be willing to donate prizes and/or goodie bag items please contact them!!!
Here is a sample email that I send out to businesses:
Wolfsburg West,
Good afternoon. Our air-cooled VW club in Richmond, Virginia (Central VA Vintage VWs, website: www.c3vs.com) will be holding our annual show on June 19th 2010. I'm writing to ask if you could possibly contribute some items to give away in our goodie bags. Also, we are planning on distributing door prizes to participants and if you have any prizes that you would be willing to donate that would be awesome! We would also welcome any literature that we can pass out to promote sales at Wolfsburg West.
Thank you for your time and I look forward to hearing from you!
Just copy and paste this into an email and send it out (change the business name of course!!). Then just give them a shipping address so they can mail the stuff. You can do this, or go by businesses in person and request items!!
You can also donate door prizes yourself!! Just bring them to any cruise in and I'll put them away until the show date.

Re: Summer Show at Iron Bridge Sports Park
Good turnout for the cruise-in today! Nice cars and very nice weather! If you weren't there then hopefully we'll see you for the Spring Cruise to Jamestown on April 10th! Only 3 weeks away!
Here is some information on the show I wanted to pass on to everyone:
* Goodie Bag stuff. I've contacted several VW parts suppliers for items, but could always use more. If you know of any local businesses that could help out contact them (or give me the contact info and I'll do it) and ask if they can support us! Show them the attached flyer!
* Kids activities. The Iron Bridge Sports Park will provide a Bouncy House and we will also have a VW coloring contest. I've been to shows in the past and one neat thing I saw were kids painting a partially parted out beetle. The kids went at it with Crayola watercolor paints and it was a blast for them! Does anyone have something like this they could trailer to the show?
* Door Prizes: These will be awarded via a random drawing to all registered participants (a ticket will be handed out at the registration table). We are in need of VW related items to give away. If you would like to donate anything (VW toys, T-shirts, hats, VW signs, etc.) then let me know.
* Volunteers: We need lots of help on show day to include people manning the registration tent, parking attendants, 50/50 raffle ticket sellers, and of course, SET UP!!! Let me know if you can help out with any of these things!
* Last, but definitely not least, this show's primary function is to help raise money for Roy Arnette and his son, Cameron. We've decided that 75% of the net proceeds will go to Racing4Research. The other 25% will be set aside for next year's show. More info on the Arnette's charity can be found here: http://www.active.com/donate/racing4research2011/4cameron
Thanks, in advance, for your willingness to help put together a great show. The date is still set for Sat. June 19th at the Iron Bridge Sports Park in Chester...so it is less than three months away! Let's work together to make this an awesome event!

I've heard from a couple people...anyone else? I understand that some may be reluctant until the date gets closer...that's fine. Just let me know if you have any ideas, can donate door prizes, anything. Thanks!
Re: Summer Show at Iron Bridge Sports Park
Could really use some help getting goody bag items!! If anyone can reach out to parts suppliers, auto part stores, etc. that would be great. We need small items such as samples, keychains, pens and the like. I've already got stuff from Wolfsburg West, Hagerty's Insurance and Meguiar's (hopefully...should hear from them soon).
Need someone to step up and help the club with this!!!

Hey Josh...thanks...whatever you can do would be awesome. Stacy at the Iron Bridge Sports Park told me to stop by Chick-Fil-A in Chester (next to the Post Office) and they could hook us up with some coupons...just haven't had any time to go over there lately. A few other people are helping get the goody bag stuff...so it's not just a one Josh show!
Thanks, d-o-double g.

Re: Summer Show at Iron Bridge Sports Park
Cool Josh! I sent some emails to some of those guys, too. Doesn't hurt to double-dip! I got stuff from thesamba.com and Wolfsburg West. Have you heard from anyone else?
Re: Summer Show at Iron Bridge Sports Park
I really didn't think much would come from my emails and contact forms submitted...... BUT
When I got home yesterday I had a box on the porch from Wolfsburg West. In the box was a dual mount antenna, a nice silver grab handle, a WW Beetle T-shirt and 50 WW bags, perfect for the goodie bags!!
Then I just got an email from Bill at CIP that he just sent out a "raffle package"... not too sure what that is, but it sounds cool!!
So, I've got some things, I can give them to whomever when we meet next.
The power of email I guess!!!
In other news, I just found out that my wife has to work on the 19th and I'll have my boy all day. I can come and help as best as possible, but I will have to leave at 1-2ish to get him home for his nap.
Let me know if I can do anything else!

Great work, Josh. I got an email from Bill at CIP1 as well and he's sending me a raffle package, too! I have some stuff from WW as well. We'll get together at my place the week of the show and do the goodie bag assembly line like last year.
Re: Summer Show at Iron Bridge Sports Park
I just got an email from Jen Barnes too, Everett's wife I'd guess.... she's sending me some gift certs for free t-shirts!!
just let me know, if need be I can drop the stuff off at Bill's once I get it all.

SWEET!!! Got stuff from thesamba, too. I got stickers and some t-shirts. Last year they gave us those same GCs...they made great door prizes. YOU ARE DA BOMB, Josh!
Re: Summer Show at Iron Bridge Sports Park
Picked up a ton of stuff for the goodie bags this weekend...got some Bug Out bumper stickers and a bunch of stuff from Northside Automotive (Bill, Dave, Justin and I made the trip up from Richmond on Sat. for Grant's open house...it was da bomb!!!)
Our show is less than three weeks away and it's time to finalize our plans. Anyone who has door prizes to donate just let me know. Also, we need to do our pre-show meeting and get the goodie bags assembled and go over the show protocol. I'll throw out a date: Wednesday, June 16th, 7pm at my place.
